Since 2017, we have had the honor of planning and coordinating more than 400 weddings. Most couples find the perfect fit within one of our three signature packages, but customized options are also available for those who need a more personalized level of support.

Day Of Coordination


Wedding Day Coordination

You have planned the details—now it is time to hand them over, breathe, and enjoy your wedding day.

Our Wedding Day Coordination Package is designed for couples who want to manage most of the planning themselves but need an experienced professional to organize the final details, communicate with vendors, and ensure everything comes together smoothly.

From your six-month check-in through the final moments of your reception, our team will help organize your plans, solve problems behind the scenes, and allow you and your loved ones to remain fully present.

PLANNING SUPPORT

Welcome Guide & Planning Resources

Once booked, you will receive our comprehensive Welcome Guide, filled with helpful planning advice, trusted vendor recommendations, and practical resources to guide you through the planning process.

You will also receive our detailed planning questionnaire to complete before your six-month check-in.

Six Months Before Your Wedding

You will meet with Amy Lee or your lead coordinator to:

  • Establish the foundation of your wedding-day timeline
  • Review your current plans and vendor team
  • Identify any remaining vendors or services you may need
  • Discuss important logistical considerations
  • Receive professional recommendations for your next planning steps

You will also receive access to our professional timeline software, where we will continue building and organizing the details of your wedding day.

Eight Weeks Before Your Wedding

This is when we begin taking a more active role in your wedding plans.

You will meet with Amy Lee and/or your Lead Coordinator to review:

  • Your complete wedding-day timeline
  • Ceremony and reception details
  • Venue layout and floor plan
  • Setup and teardown responsibilities
  • Photography requests and family photo lists
  • Ceremony and reception music selections
  • Wedding-party responsibilities
  • Vendor arrival, setup, and departure times
  • Transportation and end-of-night logistics
  • Any remaining decisions or unanswered questions

During the final three to eight weeks, we will also join applicable final vendor meetings to help communicate your plans, address logistical concerns, and ensure everyone is working from the same vision.

Four Weeks Before Your Wedding

You will meet with Amy Lee and/or your Lead Coordinator for a final planning check-in.

Together, we will review outstanding decisions, missing information, and items marked “to be determined” so nothing important is overlooked.

Two Weeks Before Your Wedding

Our team will take over final wedding-day communication with your vendors.

We will:

  • Confirm arrival times and vendor responsibilities
  • Review the finalized timeline
  • Confirm setup and delivery instructions
  • Address last-minute logistical questions
  • Share important wedding-day information with your immediate family and wedding party
  • Ensure everyone knows where they need to be and when

You will also receive unlimited email correspondence throughout the planning process, giving you access to professional guidance as questions arise.

WEDDING-DAY MANAGEMENT

Your Lead Coordinator will provide up to 12 consecutive hours of wedding-day coverage and serve as the primary point of contact for your vendors, wedding party, family members, and guests.

This package includes coordination of the wedding-day timeline and limited setup of smaller, pre-approved décor areas. It does not include full ceremony or reception décor installation unless additional setup staff are booked.

While you celebrate, we will manage the logistics, timing, communication, and unexpected moments happening behind the scenes.

Limited Décor Setup

Your Lead Coordinator’s primary responsibility is managing the vendors, timeline, wedding party, logistics, and overall flow of your wedding day.

Because this package includes one Lead Coordinator, décor setup is limited to a few smaller, pre-planned areas.

Setup included with this package may include:

  • Welcome table, guestbook, and card box
  • Dessert or cake table
  • Memorial or in-memory display
  • Favors and other small décor areas
  • A limited number of signs and personal details

All décor must arrive onsite organized, unpacked, labeled, and ready to be placed according to an approved setup plan.

This package does not include:

  • Setting linens or chair covers
  • Setting every guest table
  • Placing centerpieces at all guest tables
  • Placing candles, chargers, place settings, menus, or napkins
  • Installing arches, backdrops, drapery, ceiling décor, or large displays
  • Moving tables, chairs, or furniture
  • Assembling décor
  • Extensive floral placement
  • Full ceremony or reception setup
  • Room flips
  • Full teardown

These responsibilities must be completed by the venue, rental company, florist, decorator, family members, or an additional Breathe and Relax Events setup team booked in advance.

Couples needing more extensive décor setup may add additional team members or full setup services based on the amount of décor, venue access time, and overall event logistics.

Vendor & Delivery Management

Our team will:

  • Serve as the primary point of contact for vendors
  • Confirm vendor arrivals and scheduled deliveries
  • Direct vendors to the appropriate setup locations
  • Answer logistical questions
  • Confirm that vendors are following the approved timeline and setup plan
  • Communicate changes or concerns to the appropriate people
  • Distribute final payments and gratuities when provided in advance

Although we oversee vendor arrivals and communicate the approved setup plan, our Lead Coordinator is not responsible for completing setup duties assigned to rental companies, florists, decorators, venues, caterers, or family members.

Ceremony Coordination

Before and during the ceremony, we will:

  • Distribute and pin boutonnieres, corsages, and personal flowers
  • Greet guests and direct them to the appropriate ceremony location
  • Gather and organize the wedding party
  • Line up the ceremony processional
  • Cue musicians or the DJ for processional and recessional music
  • Coordinate with the officiant, photographer, videographer, and venue team
  • Make timing adjustments when needed
  • Ensure the ceremony begins as smoothly and punctually as possible

Reception Coordination

Throughout the reception, we will:

  • Coordinate the grand entrance
  • Communicate meal timing with the catering team
  • Organize and cue speeches and toasts
  • Coordinate the cake cutting
  • Cue the couple’s first dance
  • Coordinate parent dances
  • Organize the bouquet or garter toss, when applicable
  • Ensure late-night food is served at the scheduled time
  • Keep vendors informed of timeline changes
  • Assist guests and family members with questions
  • Keep the celebration moving without making it feel rushed

When Amy Lee is your Lead Coordinator, she can also emcee the cocktail hour and reception, including the grand entrance and organization of the speech flow.

Additional emcee support may be required when working with a live band or when Amy is not the assigned Lead Coordinator.

Problem-Solving & Emergency Support

Wedding days rarely go exactly as planned—but most couples never know about the small issues because we handle them behind the scenes.

Our team arrives prepared with a wedding-day emergency kit containing commonly needed items such as:

  • Bobby pins and basic hair products
  • Bandages and basic first-aid supplies
  • Stain-removal products
  • Sewing supplies
  • Fashion tape and safety pins
  • Common personal-care necessities

We will troubleshoot unexpected situations, adjust the timeline when necessary, and communicate changes to the appropriate vendors and family members.

End-of-Night Support

As your celebration comes to an end, we will:

  • Confirm scheduled transportation has arrived
  • Gather and organize personal items from the smaller areas we set up
  • Package cards, gifts, guestbook items, and smaller personal décor pieces
  • Prepare those items for pickup or onsite storage
  • Communicate final instructions to the designated family members or teardown team

This package does not include full venue teardown, removing décor from every guest table, packing rental items, loading vehicles, or transporting décor offsite.

A designated family teardown team, rental company, decorator, venue staff, or additional Breathe and Relax Events team members must be assigned to complete full teardown and removal of remaining items.

AFTER YOUR WEDDING

Following your celebration, we will connect with your vendor team to thank them for helping create an unforgettable wedding day.

OPTIONAL ADD-ONS

Weddings with more than 300 guests, extensive décor installations, multiple locations, complex room transformations, or responsibilities typically handled by another professional vendor may require additional team members and fees.

You have a vision for your wedding—but bringing every color, rental, décor detail, and vendor together can feel overwhelming.

Our Design & Microplanning Package is perfect for couples who want to remain involved in planning their wedding while receiving professional guidance to create a cohesive design, make confident decisions, and ensure every detail comes together beautifully.

This package includes everything offered in our Wedding Day Coordination Package, plus personalized design assistance, expanded planning support, additional wedding-day staffing, décor benefits, and behind-the-scenes social media content.

DESIGN & MICROPLANNING PROCESS

Beginning 8–10 Months Before Your Wedding

Your design process will begin approximately eight to ten months before your wedding.

During this phase, Amy Lee will help you define the overall look, atmosphere, and guest experience you want to create.

Together, we will establish:

  • Your wedding color palette
  • Overall style and atmosphere
  • Ceremony and reception design direction
  • Tabletop and centerpiece concepts
  • Floral inspiration
  • Linen, chair, and rental selections
  • Signage and stationery ideas
  • Lighting, candlelight, and décor details

Our goal is to create a design that feels intentional, cohesive, and personal to you as a couple.

Custom Design Guide & Moodboards

You will receive a personalized virtual design file featuring custom moodboards that visually bring your wedding vision to life.

Your design guide may include:

  • Ceremony design concepts
  • Reception and tabletop inspiration
  • Floral and centerpiece ideas
  • Linen, chair, and rental recommendations

We will provide professional cost-saving ideas and recommendations to help you create the greatest visual impact within your established budget.

Couples remain responsible for reviewing and signing vendor contracts and making all required payments directly to third-party vendors.

Two Private Design Meetings

Your package includes two one-on-one design meetings with owner Amy Lee.

Meetings may take place in person or virtually and will be used to:

  • Discuss your wedding vision in depth
  • Review inspiration photos and design priorities
  • Establish your color palette and style
  • Review the first version of your design guide
  • Finalize décor, floral, and rental recommendations
  • Discuss pricing and cost-saving alternatives
  • Create a clear action plan for remaining decisions

Personalized Planning File

You will receive a custom virtual planning file to keep your wedding details organized in one convenient place.

Your file will include:

  • Custom design guide and moodboards
  • Detailed wedding-day timeline

This file will continue to be updated as your plans develop.

FINAL PLANNING & COORDINATION

This package includes all planning support provided in our Wedding Day Coordination Package, including:

WEDDING-DAY EXPERIENCE

Amy Lee as Your Lead Planner

Amy Lee will serve as your Lead Wedding Planner and personally oversee the execution of your wedding day.

She will manage the timeline, vendor communication, wedding party, ceremony, reception events, décor execution, and overall flow of the celebration.

Amy will be joined by an additional Breathe and Relax Events associate, allowing our team to divide responsibilities and provide more comprehensive wedding-day support.

Expanded Setup & Teardown Support

Unlike our Wedding Day Coordination Package, this package includes an additional team member to assist with approved setup and teardown responsibilities.

Depending on the finalized design and venue logistics, our team may assist with:

  • Welcome and guestbook displays
  • Dessert or cake-table setup
  • Memorial displays
  • Centerpiece placement
  • Candle placement
  • Table-number placement
  • Head table or sweetheart-table details
  • Signage and smaller décor areas
  • Placement of approved Breathe and Relax Events rental items
  • Packing and organizing personal décor at the end of the evening

Having an additional associate onsite may reduce setup and teardown charges that would otherwise be paid to third-party decorators, florists, or rental companies. Depending on the amount of décor and vendor pricing, this may provide an estimated savings of $500–$1,000.

All setup responsibilities must be reviewed and approved in advance. Extensive installations, large floral arrangements, drapery, ceiling décor, furniture assembly, room flips, or highly detailed table settings may require additional staff or third-party professional services.


14 Hours of Wedding-Day Coverage

This package includes up to 14 consecutive hours of wedding-day coverage within the agreed-upon event schedule.

Our team will arrive at the scheduled start time to complete the approved décor setup and begin managing the wedding-day logistics.

Teardown typically begins around 9:00 PM, once the major reception events have concluded and most guests have transitioned into dancing. This generally gives our team until approximately 11:00 PM to pack and organize as many approved décor and personal items as possible.

Our goal is to complete the majority of the teardown before we leave, significantly reducing the number of items you and your family need to handle at the end of the night.

To avoid disrupting the celebration, we will begin with décor in areas that are no longer being used. Guest tables and other active reception areas will be cleared gradually as guests leave or as it becomes appropriate to do so.

Any remaining items that cannot be packed within the 14-hour coverage period will be organized for the couple’s designated family members, venue staff, rental company, or teardown team to complete.

Additional coverage beyond 14 hours may be added for an additional fee and must be arranged in advance.

Complimentary Social Media Content Creator

Your wedding-day team will include a Social Media Content Creator who will capture candid, behind-the-scenes photo and video footage throughout the day.

Content may include:

  • Getting-ready moments
  • Décor and venue details
  • Wedding-party interactions
  • Ceremony highlights
  • Reception reveals
  • Grand entrance and dances
  • Candid guest moments
  • Behind-the-scenes clips
  • Short-form vertical video footage

Your content will be delivered within 48 hours of your wedding.

You may also submit desired Reel or TikTok ideas before the wedding. Approved content concepts will be preplanned and incorporated into the wedding-day timeline at no additional charge.

This complimentary service provides an estimated value of $1,500.

Social media content is captured on a mobile device and is intended to complement—not replace—the services of a professional photographer or videographer.

Complimentary Candle Décor

Your package includes complimentary use of select candle décor from the Breathe and Relax Events inventory for up to 20 guest tables.

You may select from:

  • Cylinder vases with white flameless pillar candles
  • Clear tapered candlestick holders with flameless taper candles
  • Gold tapered candlestick holders with flameless taper candles

Each table may include approximately three to four candle pieces, depending on the selected design and available inventory.

Final quantities and combinations will be based on:

  • Table size
  • Centerpiece design
  • Venue restrictions
  • Inventory availability
  • Approved wedding design

Additional quantities or specialty décor may be added for an additional fee.

PLANNING BEGINS IMMEDIATELY

  • Specialty head-table linens

Selections are based on availability, quantities, venue restrictions, and the approved wedding design.

Items not owned by Breathe and Relax Events will be rented through third-party vendors at the couple’s expense.

BUDGET & PLANNING GUIDANCE

We will maintain your wedding budget and review it with you quarterly.

Your planner will help track:

  • Contracted expenses
  • Upcoming payments
  • Estimated remaining costs
  • Budget adjustments
  • Cost-saving opportunities

We will also provide guidance on:

  • Catering and menu selections
  • Bar and dessert planning

Printing, postage, purchased products, and third-party services are not included.

WEDDING WEBSITE

We will assist with creating and organizing your wedding website through The Knot or Zola.

Support may include event details, travel information, hotel accommodations, frequently asked questions, registry information, and wording assistance.

CEREMONY & REHEARSAL PLANNING

We will work alongside your officiant to organize:

  • Ceremony order
  • Family seating
  • Processional and recessional
  • Wedding-party placement
  • Music selections
  • Readings and unity ceremonies
  • Vow guidance

Your planner will also lead the wedding rehearsal and ensure the wedding party and immediate family understand their responsibilities.

REHEARSAL DINNER PLANNING

Rehearsal dinner planning is included.

We can assist with:

  • Venue and catering recommendations
  • Menu planning
  • Guest-count guidance
  • Timeline and layout
  • Décor recommendations
  • Vendor communication
  • Transportation logistics

All third-party expenses are paid directly by the couple.

WEDDING-DAY MANAGEMENT

Amy Lee as Your Lead Planner

Amy Lee will serve as your Lead Wedding Planner and oversee the execution of your wedding day.

She will manage the timeline, vendors, wedding party, family communication, ceremony, reception, transportation, décor execution, and unexpected situations.

16 Hours of Coverage

This package includes up to 16 consecutive hours of wedding-day coverage.

Additional coverage may be added for an additional fee.

Wedding-Day Staffing

Amy will be supported by the number of Breathe and Relax Events team members reasonably needed to execute the approved wedding plan.

Additional Breathe and Relax Events staffing determined necessary by our team is included at no additional staffing fee.

Third-party vendors, specialty installers, catering staff, bartenders, security, transportation, and rental labor are not included.

Setup & Décor Execution

Our team will complete the approved setup plan, which may include:

  • Welcome and guestbook displays
  • Card and gift areas
  • Dessert and cake tables
  • Memorial displays
  • Guest-table décor
  • Candles, chargers, and table numbers
  • Head-table or sweetheart-table details
  • Drink walls, favors, and signage
  • Approved Breathe and Relax Events inventory

Specialty draping, ceiling décor, large floral installations, heavy furniture, rigging, electrical work, or projects requiring licensed professionals must be completed by an appropriate third-party vendor.

Ceremony & Reception Coordination

Our team will:

  • Organize the ceremony processional
  • Distribute personal flowers
  • Cue music and wedding-party entrances
  • Coordinate with the officiant and vendors
  • Manage the grand entrance
  • Coordinate meal service, speeches, dances, and cake cutting
  • Monitor transportation and late-night food
  • Adjust the timeline when needed
  • Assist guests and family members

When Amy is your Lead Planner, she will also emcee the cocktail hour and reception.

Social Media Content Creation

A Social Media Content Creator will capture candid, behind-the-scenes mobile photos and videos throughout the wedding day.

Approved Reel or TikTok ideas may be planned in advance and added to the timeline.

Content will generally be delivered within 48 hours and is intended to complement professional photography and videography.

Teardown

Teardown typically begins around 10 PM, once the main reception events have concluded and most guests are dancing.

This generally gives our team until approximately 12 AM to pack and organize as much décor as possible without disrupting the celebration.

Our goal is to leave very few items for you and your family to manage at the end of the night.

Any remaining items will be organized for your designated family members, venue staff, rental company, or assigned teardown team.
